This Privacy Policy applies to CEAIH websites, applications, dashboards, AI tools, communications services, learning environments, administrative services, and related support activities.

Where a school, district, ministry, government authority, or other organization provides CEAIH accounts, that organization may control educational records and certain account data. Its own privacy notices and agreements may also apply.

• Account and identity information: name, username, email, role, organization, school, class, age or grade range, and authentication identifiers.
• Contact and communication information: phone numbers, preferred language, consent choices, verification status, messages, notification settings, meeting information, and communication history.
• Educational information: enrollment, classes, assignments, assessments, grades, attendance, teacher remarks, learning progress, accommodations, submitted work, and curriculum activity.
• AI interaction information: prompts, responses, generated learning materials, tutor activity, feedback, and safety or moderation signals.
• Organization and billing information: organization details, licenses, subscriptions, usage, invoices, payment status, and transaction references. Full payment-card data is generally processed by the applicable payment provider rather than stored by CEAIH.
• Technical information: IP address, device and browser information, timestamps, diagnostics, security logs, cookies, and platform activity.
• Content: files, media, resources, publications, messages, and other material uploaded or created through CEAIH.

• Provide and operate CEAIH services.
• Authenticate users and apply role-based access controls.
• Deliver instruction, assessments, tutoring, reports, communications, meetings, and administrative workflows.
• Personalize learning and accessibility settings.
• Process subscriptions, licensing, support, and organization administration.
• Detect fraud, abuse, security threats, prohibited conduct, and service failures.
• Improve reliability, safety, accessibility, and educational effectiveness.
• Comply with contracts, law, lawful requests, and recordkeeping duties.

CEAIH does not sell student education records. CEAIH does not use student educational data for targeted advertising.

When CEAIH processes information on behalf of a school or other educational authority, the institution may be the data controller, record custodian, or equivalent responsible party. CEAIH acts according to the applicable agreement, authorized instructions, and law.

Parents, guardians, eligible students, and staff may need to direct access, correction, or deletion requests to the institution that created or controls the account.

CEAIH supports school-authorized and guardian-authorized student use. Student accounts may be created or managed by schools, teachers, parents, guardians, or other authorized entities according to CEAIH rules and applicable law.

For children under the age at which independent consent is legally permitted, CEAIH requires an appropriate school, parent, guardian, or other legally authorized basis before collecting personal information beyond what is permitted without prior consent.

CEAIH may use artificial intelligence to provide tutoring, suggestions, summaries, content generation, translation, accessibility assistance, analytics, and administrative support. AI output may be inaccurate or incomplete and must not replace professional educational, legal, medical, or safety judgment.

Teacher remarks, grades, disciplinary decisions, high-impact recommendations, and other consequential decisions should be reviewed and approved by an authorized human.

• With the school, government authority, organization, parent, guardian, teacher, or other authorized user responsible for the account or service.
• With vetted service providers supporting hosting, authentication, communications, payments, analytics, AI processing, file storage, security, and support.
• When users direct CEAIH to connect an external service such as Microsoft, Google, Zoom, Meta, Twilio, or another provider.
• To protect users, CEAIH, the public, or legal rights; investigate misuse; or respond to lawful requests.
• In connection with a merger, financing, reorganization, acquisition, or sale, subject to appropriate safeguards and notice where required.

Service providers may process information only for authorized purposes and under applicable contractual and security obligations.

CEAIH serves Caribbean and international communities. Information may be processed in the United States or other locations where CEAIH or its service providers operate. CEAIH will use contractual, organizational, and technical safeguards appropriate to the applicable transfer and legal requirements.

CEAIH uses administrative, technical, and organizational safeguards designed to protect information, including access controls, credential encryption, audit logging, verification, backups, and monitoring. No platform can guarantee absolute security.

Users must protect credentials, report suspected compromise promptly, and avoid sharing sensitive information unnecessarily.

CEAIH retains information only as long as reasonably necessary for educational services, account administration, contracts, security, legal duties, dispute resolution, backups, and legitimate operational needs.

Retention periods may differ by data category and organization agreement. Data scheduled for deletion may remain temporarily in protected backups until normal backup expiration.

Depending on location, role, age, and applicable law, users may have rights to request access, correction, deletion, restriction, portability, objection, withdrawal of consent, or appeal of a privacy decision.

CEAIH may verify identity and authority before fulfilling a request. Some requests must be handled by the school or organization controlling the relevant record.

Users may control optional email, SMS, WhatsApp, voice, push, in-app, calendar, and meeting notifications through communication preferences. Required security, account, emergency, or legally necessary notices may remain enabled.

STOP, START, HELP, quiet-hour, guardian, consent, and emergency-override controls may apply depending on the communication channel and organization policy.

CEAIH may update this policy as services, providers, laws, or practices change. Material changes will be communicated through the platform, website, organization administrator, or another appropriate method.

Privacy requests and questions may be submitted through the contact method published on the CEAIH website. Requests involving school-controlled records may be referred to the relevant school or organization.

CEAIH provides SMS, WhatsApp, and mobile messaging to deliver account verification codes, school communications, educational alerts, security notifications, and user‑requested updates. By providing your mobile number and opting in, you consent to receiving these messages. Message frequency varies. Message and data rates may apply.

You may reply STOP to unsubscribe or HELP for assistance at any time.

CEAIH does not share, sell, or provide your mobile phone number or messaging‑consent data to third parties or affiliates for marketing or promotional purposes. Mobile numbers and messaging data are used only to deliver CEAIH services, support account security, and communicate with users according to their preferences.

CEAIH may share mobile messaging data only with vetted service providers who support delivery of CEAIH communications (such as Twilio), and only for operational purposes under strict contractual privacy and security requirements.
